This privacy statement is effective as of February 28th, 2022. Please note that this privacy statement is regularly updated to reflect any changes in the way we handle your personal data or any changes in applicable laws.

Veracity adheres to the gold standard of data, putting individuals in control of the data they choose to share and how it is used. Veracity does not proactively collect data to advertise directly to you; rather, the information Veracity collects is based on the individual experience and interactions on our website, such as clicks and time spent on a page, to better understand how to update and improve the site experience overtime.

COLLECTION OF INFORMATION

Information We Collect Automatically When You Interact with Us

When you complete and submit a contact form on our website, we automatically create a contact record that is stored in our Customer Relationship Management (CRM) database.

What Information Do We Maintain in Our CRM?

Our CRM database includes personal data belonging to individuals with our client organizations and other companies with whom we already have a business relationship or want to develop one. The personal data used for these purposes includes relevant business information, such as contact data, publicly available information (i.e. board memberships, published articles, public posts on social media), your responses to targeted emails (including web activity based on links clicked in our emails), and other business information collected by Veracity professionals based on their personal interactions with you.

We collect data of and create contact records for our employees, potential employees, clients, suppliers, partners, business contacts, and business prospects. Below is the personal data we collect and store in our CRM:

Personal Details and Contact Information: This includes name, pronoun, and other contact identifiers such as email, phone number, and mailing address.

Commercial Information: History and records of Veracity’s products and services used by clients.

Position and Professional or Employment-Related Information: Professional or employment-related information, such as description of current position, job title, employer, location and Veracity contact(s).

Once your record is created, we also collect and append certain web behavior information to the individual record, including:

Activity Information: We collect information about your activity on our website, such as pages visited. We also collect information about your activity on individual pages on our website, such as access times, pages viewed, links clicked, and the page you visited before navigating to our website.

Information Collected by Cookies and Similar Tracking Technologies: We use tracking technologies, such as cookies, to collect information about you and the individual user journey to land on www.veracityIT.com. We also work with third-party analytics providers who use cookies, web beacons, device identifiers, and other technologies to collect information about you including your web browser, pages viewed, time spent on pages and links clicked. This information may be used by Veracity to analyze and track data, determine the popularity of certain content and pages, deliver content targeted to your interests on our services, and better understand your online activity.

Information We Collect from Other Sources

We obtain information from third-party sources. For example, we may collect and store the URL to your individual LinkedIn account once you submit a contact form. We combine this data with your contact record to better assess your experience with Veracity and to perform other targeted marketing efforts described throughout our privacy policy.

The above-mentioned categories of personal data are obtained either directly from you (such as signing up for our newsletter or registering for an event) or indirectly from third parties, as detailed in the section directly above, labeled, “Information We Collect from Other Sources.”

Employee and Potential Employee Information

As an employee or potential employee of Veracity, we may also collect and store the following data about you:

Personal Details, Contact Details, and Identifiers: Veracity may collect additional personal details for recruitment/employment purposes, such as national ID number, social security number, insurance information, marital/civil partnership status, dependents, emergency contact information, and military history; professional/personal calendar availability/scheduling information for meeting/communication purposes.

Education: Veracity may collect information about your education and professional or employment-related information.

Sensitive Data for Recruitment Purposes: Veracity may collect certain types of sensitive information when permitted by local law or with your consent, such as health/medical information (including disability status), trade union membership information, race or ethnicity, and information on criminal convictions and offenses. Veracity collects this information for specific purposes, such as health/medical information in order to accommodate a disability or illness (subject to legal limits on the timing of collection of such information and other applicable limitations) and to provide benefits; background checks and diversity-related personal information (such as race or ethnicity) in order to comply with legal obligations and internal policies relating to diversity and anti-discrimination.

 Documentation required under immigration laws: Veracity may collect data on citizenship, passport data, and details of residency or work permit (a physical copy and/or an electronic copy).

Financial information for payroll/benefits purposes: Your banking and other relevant financial details we need for payroll/benefits purposes.

Talent management information: Information necessary to complete a background check, details on performance decisions and outcomes, performance feedback and warnings, e-learning/training programs, performance, and development reviews (including information you provide when asking for/providing feedback, creating priorities, updating your input in relevant tools), and information used to populate biographies.

Requested recruitment information: Information requested to provide during the recruitment process, to the extent allowed by applicable law.

Recruitment information you submit: Information that you submit in résumés / CVs, letters, writing samples, or other written materials (including photographs).

Information generated by us during recruitment: Information generated by interviewers and recruiters related to you, based on their interactions with you or basic Internet searches where allowed under applicable law.

Recruitment information received from third parties: Information related to you provided by third-party placement firms, recruiters, or job-search websites, where applicable.

Recommendations: Recommendations related information provided on your behalf by others.

Immigration: Documentation and related information required under immigration laws.

Employment history and background checks: Information about your prior employment, education, and where applicable and allowed by applicable law, credit history, criminal records or other information revealed during background screenings.

Diversity related information: Information about race / ethnicity / religion / disability / gender and self-identified LGBT status, for purposes of government reporting where required by law, as well as to understand the diversity characteristics of the Veracity workforce, subject to legal limits.

Assessment information: Information generated by your participation in psychological, technical or behavioral assessments. You will receive more information about the nature of such assessments before your participation in any of them. 

USE OF INFORMATION

Veracity maintains the appropriate technical and organizational measures to protect your personal data against unauthorized or unlawful processing and/or against accidental loss, alteration, disclosure or access, or accidental or unlawful destruction of or damage thereto.

How We Use Your Information as a Customer

We use this information to proactively respond to individual inquiries and do not send mass communication to you, such as newsletters, unless consent is received separately via the contact page at https://www.veracityit.com/contact.

Managing Our Contractual Relationship with You: Necessary for the performance of a contract to which you are a party.

 Facilitating Communication with You: Justified on the basis of our legitimate interests for ensuring proper communication and emergency handling within the organization.

Business Operations Management and Execution, including Fulfilling Services to our Clients and their Employees: Justified on the basis of our legitimate interests for ensuring the proper functioning of our business operations.

Marketing Research and Analytics: Justified on the legitimate interests for ensuring our team and the Veracity brand adheres to the expected level of service, as detailed in existing contracts.

Complying With Legal Requirements: Necessary for the compliance with a legal obligation to which we are subject.

Monitoring Your Use of Our Systems: Justified on the basis of Veracity’s legitimate interests of avoiding non-compliance and protecting our reputation.

Social Listening and Analysis: Blending behavior analytics and social sentiment via publicly available and accessible posts and channels to understand sentiment, intent, mood and market trends to better serve our clients and prospects, where the information is aggregated and not tied to an individual. This is justified based on our legitimate interest in protecting our assets and brand across our digital channels.

Improved Security, Website Functionality and Analysis: Using data analytics, we use data to describe, predict and improve business performance within Veracity and/or to provide a better experience. This is justified based on our legitimate interests for ensuring our business operations continue to function and we meet client standards and expectations.

Targeted Marketing: The bulk of personal data we collect and use for marketing purposes relates to employees of our clients, our own employees and other companies and individuals with whom we have a business relationship. Targeted emails are sent only to those who opt-in to receive additional information from us, which means we adhere to a double opt-in standard. We do not share personal data with outside marketing agencies or advertisers.

How We Use Your Information as an Employee or Potential Employee

Veracity uses your personal data only when required for specific purposes, listed below.

Assess your suitability for employment for the role for which you are applying, as well as future roles: Justified based on Veracity’s legitimate interests of ensuring that it recruits and hires the best qualified candidates.

Manage your application: Justified based on Veracity’s legitimate interests of ensuring that it recruits and hires the best qualified candidates.

Facilitate communication with you: Justified based on Veracity’s legitimate interests of ensuring proper communication within the organization and you.

Perform administrative functions (e.g., reimburse you for interview-related expenses): Justified based on Veracity’s legitimate interests of ensuring that it recruits and hires the best qualified candidates.

Perform data analytics, including analysis of our applicant pool to better understand who is applying to positions at Veracity and how to attract and keep top talent: Justified based on Veracity’s legitimate interests of ensuring that it continually improves its recruitment processes.

Transfer your contact information, education data, employment data, application information and the CV, all as supplied by you in our recruitment system that we maintain to notify you about new positions that may be of interest to you: Justified based on Veracity’s legitimate interests of ensuring that it recruits and hires the best qualified candidates.

Administration of employee benefits: Justified based on Veracity’s legitimate interests of ensuring that our employees receive the applicable benefits.

Perform any legally required reporting and respond to legal process: Compliance with a legal obligation. 

“Legitimate interest” means Veracity has reasonable grounds to process your personal information to ensure fully functioning business operations, client satisfaction and user experience. Our legitimate interests do not override your interests, rights, or freedoms. We believe in being transparent with you in how we collect and use your information; thus, giving you the choice on which information, and how much, to share with Veracity. This puts you in control of your data and the experience that follows.

We will process your information for the purposes mentioned above based on prior consent, to the extent that such consent is mandatory under applicable laws.

To the extent you are asked to click on/check “I accept,” or “I agree,” or similar buttons/checkboxes/functionalities, in relation to a privacy statement, doing so will be considered as providing your consent to process your personal information, only where such consent is required by mandatory law.

We will not use your information for purposes beyond the details in this policy, unless it is required by law, or it is in your own vital interest (i.e. in case of a medical emergency) to do so.

THIRD-PARTY DATA SHARING

Veracity may transfer data to key service providers and professional advisors only if necessary for Veracity’s business operations. Before any information is shared, Veracity takes the necessary steps to ensure adequate protection as required by relevant data privacy laws and our internal policies. For example, we may disclose personal information to third parties for business purposes as follows:

Share information with third-party service providers that provide services to us, including billing, payment processing, employee systems and services, security monitoring, account servicing, auditing, and data processing;

To protect and defend the legal rights, safety and security of Veracity, our affiliates, users or the public, including to protect against fraud and malicious activity; and,

DATA RETENTION

We retain your data if we have an ongoing relationship with you.

We will only keep the data while your account is active or for as long as needed to provide services to you.

We retain your data for as long as needed to comply with our legal and contractual obligations.

You are entitled (in the circumstances and under the conditions, and subject to the exceptions, set out in applicable law) to:

Request access to the personal data we process about you: this right entitles you to know whether we hold personal data about you, and if we do, to obtain information on and a copy of that personal data

Request a rectification of your personal data: this right entitles you to have your personal data corrected if it is inaccurate or incomplete.

Object to the Processing of your personal data: This right entitles you to request Veracity no longer process or maintain your personal data as a contact record in our CRM.

Request the Erasure of Your Personal Data: This right entitles you to request the erasure of your personal data, including where such personal data would no longer be necessary to achieve Veracity’s business purposes.

Request the Restriction of the Processing of your Personal Data: This right entitles you to request that Veracity only keep limited data about you, with your consent

Request Portability of Your Personal Data: You are entitled to receive a copy (in a structured, commonly used and readable format) of the data you provided to Veracity, or request Veracity to transmit such personal information to another data controller.

YOUR CALIFORNIA PRIVACY RIGHTS

The California Consumer Privacy Act or CCPA (Cal. Civ. Code § 1798.100 et seq.) affords consumers residing in California certain rights with respect to their personal information. If you are a California resident, this section applies to you.

In the preceding 12 months, we have collected the following categories of personal information: identifiers, commercial information, internet or other electronic network activity information, and inferences. For details about the precise data points we collect and the categories of sources of such collection, please see the Collection of Information section above. We collect personal information for the business and commercial purposes described in the Use of Information section above. In the preceding 12 months, we have disclosed the following categories of personal information for business purposes to the following categories of recipients:

Veracity does not sell your personal information.

Subject to certain limitations, you have the right to (1) request to know more about the categories and specific pieces of personal information we collect, use, and disclose about you, (2) request deletion of your personal information, (3) opt out of any sales of your personal information, if we engage in that activity in the future, and (4) not be discriminated against for exercising these rights. If we receive your request from an authorized agent, we may ask for evidence that you have provided such agent with a power of attorney or that the agent otherwise has valid written authority to submit requests to exercise rights on your behalf.
